Rackbeat integration

With this integration you can synchronise your stock levels and orders between the webshop and Rackbeat.

To get started you must have an existing Rackbeat account. If you do not, please sign up with Rackbeat first.

After the integration is set up, you will see new configuration options in the webshop's administration area. Among other things you can transfer all stock levels from Rackbeat to the webshop, and orders from the webshop to Rackbeat.

Transfer of orders from ideal.shop to Rackbeat

If this automatic setting is activated, orders in your webshop will automatically be transferred to Rackbeat from the moment the setting is saved.

If an order contains products that do not already exist in Rackbeat, the integration will attempt to create the product.

If an order is placed by a customer who does not already exist in Rackbeat, the integration will attempt to create the customer.

It is also possible to transfer orders individually. This is done from the orders overview by pressing the function button at the far right. In the popup menu you must select "Rackbeat".

Transfer of stock levels from Rackbeat to ideal.shop

It is necessary that your products in both the webshop and Rackbeat have associated IDs that make it possible to link them to each other. The following fields can be used to link a product across the two platforms.

1. Product number
2. SKU
3. EAN/GTIN

These numbers will be attempted to be matched with "Number" in Rackbeat.

Please note that you must use Rackbeat as the inventory management system if this setting is active. You should therefore ONLY make changes to stock levels in Rackbeat. The changes will be automatically transferred to the webshop.

Changes to stock levels in the webshop will not be transferred to Rackbeat. This means that if you edit a product in the webshop administration and change its stock level, it will NOT be transferred to Rackbeat.

If you synchronise orders, the stock level will, however, automatically be adjusted in Rackbeat when you receive orders. If you sell 2 units of item X, the stock level for that item will be reduced by 2 in Rackbeat immediately.

Notes on the integration
- Any payment fee (that you charge your customers) is not transferred to Rackbeat
- If/when the integration attempts to create product variants in Rackbeat, the variant will be created as a dedicated product. For example, the variant "Red" of the product "Sweater" will be created as a new product in Rackbeat with the name "Sweater - Red". The "Variantmatrix" is not used.
- The integration currently does not support multiple stock locations.
- An order cancellation in the webshop is not automatically transferred to Rackbeat. If an order needs to be cancelled, you must remember to do it both in the webshop and in Rackbeat. A cancellation in Rackbeat will update the stock level and transfer it to ideal.shop (if stock synchronisation is enabled).
